Gold200Thank you for your interest in submitting your book to the 24th Annual CIPA EVVY Awards (2018)!  We are going strong after twenty-five years, receiving entries from all over the world. No matter where you call home, it is important that the book you worked so hard to write and publish has the chance to be recognized!

The following outlines the CIPA EVVY submission guidelines.  We want to make this process as easy as possible for you. Please read this entire document so that you know how to submit your books and where to send them.


The 2018 competition is open to any independently or self-published print book, e-book or audio book and may be submitted by the author, publisher or credited service provider (Illustrator, designer, editor, printer, consultant, etc). CIPA membership is NOT REQUIRED.

Each entry:

  • Must be in English or Bilingual with English as one of the languages.
  • Must have an ISBN and a publication date no earlier than 2016.
  • Must not have been entered in any previous CIPA EVVY Awards competition. However, a book that has been revised and has been printed in a second edition may enter the CIPA EVVYs a second time.

Timeline for Entries

February 17, 2018:  Entries are open for acceptance.

Submission Categories

Each book entered must be submitted in at least ONE regular category. You may submit your book in as many regular categories and as many technical categories as you wish. To enter a technical category, the book must be submitted in a regular category first.

  • Audio and eBook awards are listed under the technical categories.
  • EACH category entered requires a submission fee. (See “Fees and Submission Requirements”)

*Additional and Technical Categories must be for the same book title as listed in the Book Title Submission. All submissions to Technical Categories must be accompanied by a Book Title Submission of the same title. For additional book titles, register under a new Book Title Submission.

**All entries must be received at VCA Highlands Ranch Animal Specialty & Emergency Center (5640 County Line Place Ste #1; Highlands Ranch, CO 80126) by 3:00 PM on Monday, May 19, 2018.  Postmark will not be accepted. NO Exceptions.

Submissions may be paid online by credit card or by PayPal. Checks are not accepted.

Examples using Member pricing:
1 Regular Category = $ 75
2 Regular Categories (for one book title) = $ 120 (60 + 60)
1 Regular, 1 Technical = $ 95 (75 + 25)
2 Regular (for one book title), 1 Technical = $ 145 (60 + 60 + 25)
2 Regular (for one book title), 2 Technical = $ 170 (60 + 60 + 25 + 25)
1 Technical = No, only with a Regular Category on a per book title basis

Note: Technical Categories must have at least one regular category entry also (per book title). Actual categories are selected when you complete the EVVY Entry Form following payment.

In this example, CIPA Member Author Ollie is entering two books into the CIPA EVVY’s during Early Bird Registration.

Book A entered in only 1 category: Fiction ($ 75) = $ 75

Book B entered in 4 categories: Fiction ($ 60) + Young Adult ($ 60) + Science Fiction ($ 60) + Cover Design ($ 25) = $ 205

Total investment by Author Ollie with entering Book A and Book B = $ 280

The Judging Process

Judges are selected based on expertise, experience and acceptance of responsibilities. Preference is given to those who have prior judging experience. CIPA members may be judges. All judges are required to abide by the judging guidelines and code of ethics. The names of the judges are confidential and will not be published.

Individual entry scores are confidential and will remain the property of the Colorado Independent Publishers Association.

All submissions must pass a preliminary round before advancing to the judging. If the book has 2 or more errors (mechanical, grammatical, spelling) on any random 5 pages, it will not advance.

Judging Regular Category Entries is initially scored using the CIPA EVVY Scoring System consisting of 15 scored questions. Entries receiving a minimum average score of 70 on a scale of 0 – 100 are judged and scored by a 2nd judge.  Entries that have received a minimum aggregate average score of 70 AND are deemed award worthy by both judges are designated.

Technical Category entries are judged by a 5-7 person panel and scored 0 – 100 by each judge, category by category. The highest average scores for each category are then reviewed by that category’s judges to determine finalists and winners.

Award Process

First, Second and Third place may be awarded for each category when minimum scoring criteria are met.

Merit Book designation may be given to an entry attaining the minimum required score for award consideration but not earning a place award.

The Awards Committee reserves the right to restrict or eliminate awards in any category where entries do not meet minimum scoring criteria.  Duplicate Awards may be given in case of tie scores in any category. 

General Submission Guidelines

Do not send extraneous materials (press kits, bookmarks, etc.) or entries displaying indications of other awards.

If your book is only published in eBook or audio book format, then you may submit the electronic files only. However, if your book is produced in both print and electronic format, then you MUST submit print books for judging.

CIPA EVVY Awards is not responsible for loss or damage to any entry.  All entries become the property of CIPA EVVY Awards and will not be returned.  However, authors may pick up their book at the end of the awards ceremony if it is available.

All print books not claimed by authors remain in the possession of CIPA EVVY Awards and will be donated to various charitable literacy organizations through the CIPA Education and Literacy Foundation, a 501(c)(3) Public Charity.

Complete Book Submission Form:

Once you have purchased your award entry fee and categories you must complete the Book Submission Entry Form.

Upload Book Cover Art:

You must send CIPA EVVYs a copy of your book cover art. When you win an award your book cover appears on your award certificate.

Upload a jpeg file of your book cover at the link above. The file needs to be 300 dpi. Minimum width of the cover file should be 1500 pixels. Name your file with the book title. (Example: booktitle.jpg)

For the Editing Category - Sample Edits Must Be Submitted:

In addition to providing a printed copy of the finished book for this technical category, you must also submit two versions of a chapter of the book - a "before edit" chapter and an "after edit" version of the same chapter. The before and after files should be in Word (doc. or docx.) or pdf format with the edits visible, including editor notes. Use the upload link on the entry page to upload your editing samples. The book must also be entered in a regular category to be considered for the editing award.


Book Submission Guidelines

Print Books:

Print a copy of the registration payment email for each book you send.  Place the printed email copy in the front of each book you send. 

Number Of Print Books To Send:          

  • All CIPA EVVY submissions must send three (3) print books.
  • For each additional Regular category entered, you must send an additional two (2) books.
  • For each Technical category entered, you must send one (1) book.

Example: Author Ollie is entering two books into the CIPA EVVY's during Early Bird Registration.

Book A entered in only 1 category: Fiction (3 copies). So he sends 3 print copies of Book A.
Book B entered in 4 categories: Fiction (3 copies) + Young Adult (2 copies) + Science Fiction (2 copies) + Cover Design (1 copy) = 8 print copies of Book B to be sent.

Total physical books sent in by Author Ollie = 3 print copies of Book A + 8 print copies of Book B.

We strongly recommend you include tracking in your delivery. Due to the volume of entries, we are unable to acknowledge receipt of your shipment.

Note: You must upload your book cover to us after you enter your book. If we do not receive your book cover prior to the close of the 2018 CIPA EVVY Awards, and you win an award, your book cover will NOT be printed on the award. 

Audio Books & eBooks:

DO NOT UPLOAD YOUR ENTIRE AUDIOBOOK. You will be sending us promo codes from Audible so our judges can download the audiobooks to their preferred device. 

For eBooks, you will upload either an .epub or a .mobi file to us.
